Momentum Masterclass Series Terms and Conditions

Momentum Masterclass Series Terms & Conditions Policy

This policy applies exclusively to organisational enrolments in the School's Momentum Masterclass Series.

Definitions

  • Momentum Masterclass Series Bundle: A pre-purchased allocation of a specific number of seats that can be used by an organisation across multiple distinct Masterclasses within a 24-month period, as defined in the bundle agreement.
  • Allocated Seat: A specific seat from the Momentum Masterclass Series that has been nominated by the organisation for a named participant to attend a particular Masterclass session.
  • Unallocated Seat: A seat from the Momentum Masterclass Series that has been purchased but not yet nominated for a participant for any specific Masterclass session.
  • Masterclass Start Date: The first scheduled date of an individual Masterclass session within the series.
  • Cancellation (Bundle): The act of an organisation formally terminating their entire Masterclass Series Bundle agreement, relinquishing all remaining Unallocated Seats.
  • Substitution: The act of replacing an already nominated participant for an Allocated Seat in a specific Masterclass session with another participant from the purchasing organisation.
  • Transfers: The act of changing a masterclass selection for either an allocated or unallocated seat.
  • Notification: All requests related to the bundle purchase must be submitted in writing (email or formal letter) by an authorised representative of the purchasing organisation to the specified contact point within the School. The effective date of any change is the date the written notification is received by the School.

General Principle

This Momentum Masterclass Series Bundle is a strategic investment in long-term professional development. We aim to provide maximum flexibility for your organisation to utilise your purchased seats effectively. Therefore, we seek to enable and facilitate participant substitutions for individual Masterclass sessions. However, given the specialised and discounted nature of the bundle, transfers of seats out of the series to alternative masterclass dates are generally not permitted, and cancellations of the entire bundle will incur fees reflecting the commitment period and the value of masterclasses already delivered or made available.

Momentum Masterclass Series Bundle Allocation & Nomination

The purchasing organisation is responsible for allocating their purchased seats to specific Masterclass sessions within the 24-month period.

  • Nomination Process: For each upcoming Masterclass session, the organisation must notify the School of the names and contact details of the participants who will utilise their Allocated Seats from the bundle via the form provided.
  • Nomination Deadline: Participant nominations for a specific Masterclass session must be received at least 5 business days prior to that Masterclass start date to ensure timely access to pre-masterclass materials and logistical arrangements.
  • Flexibility of Allocation: Organisations can nominate different participants for each Masterclass session, as long as they do not exceed their total purchased bundle seats over the 24-month period. This is considered an allocation of a purchased seat, not a "transfer" subject to fees.

Participant Substitutions

To maximise the value of your bundle, participant substitutions for individual Masterclass sessions are permitted.

  • Policy: You may substitute an already nominated participant for an Allocated Seat in a specific Masterclass session with another suitable person from your organisation at no additional charge.
  • Notification: All substitution requests must be made in writing via email to [email protected] by an authorised representative.
  • Deadline: To ensure smooth administration (including updating participant lists, name badges, and pre-course communications), substitution requests for a specific Masterclass session should be received at least 3 business days prior to that Masterclass start date.
  • Required Information: The written request must include the name of the original nominated participant and the full name, job title, email address, and any relevant dietary or accessibility requirements of the substitute participant.
  • Late Substitutions: While we will do our best to accommodate substitutions requested after the deadline, we cannot guarantee that participant materials (e.g., name badges) will be updated in time, and immediate access to online platforms (if applicable) may be delayed.

Transfers

The Momentum Masterclass Series Bundle is a specific, curated offering designed for sustained development over 24 months. As such, transfers of already allocated seats out to another masterclass topic or date are only permitted up to 14 business days prior to the masterclass start date.

  • Policy: Unallocated or Allocated Seats from the Momentum Masterclass Series Bundle cannot be transferred or converted to credits for other individual short courses or programs offered by the Business School. The value of the bundle is tied to the Momentum Masterclass Series content.
  • Exceptions (Highly Penalised): In extremely rare and exceptional circumstances, should an organisation insist on transferring an allocated seat to a different short course (outside the Momentum Masterclass Series), it would be treated as a cancellation of that specific allocated seat within the bundle with 100% of its pro-rata value forfeited, and a new, full-fee enrolment would be required for the desired alternative short course. This effectively acts as a disincentive to transfer out of the bundle.

Cancellation of Momentum Masterclass Series Bundle (Full Bundle Cancellation)

If an organisation needs to cancel the entire Momentum Masterclass Series Bundle agreement, the following refund structure will apply based on the date your written notification is received relative to the Momentum Masterclass Series Commencement Date (the start date of the first Masterclass in the series) and the number of Masterclasses already delivered or made available:

Timeframe of Bundle Cancellation Cancellation Fee (Applied to Original Bundle Fee) Refund Percentage (of Original Bundle Fee)
Timeframe of Bundle Cancellation Before 1st Masterclass Starts Cancellation Fee (Applied to Original Bundle Fee) 10% (Administration Fee) Refund Percentage (of Original Bundle Fee) 90% Refund
Timeframe of Bundle Cancellation Within 3 months of Bundle Start Cancellation Fee (Applied to Original Bundle Fee) Pro-rata fee for completed Masterclasses + 25% of remaining bundle value Refund Percentage (of Original Bundle Fee) Remaining Bundle Value - (Pro-rata for Completed Masterclasses + 25% Penalty)
Timeframe of Bundle Cancellation 3-6 months of Bundle Start Cancellation Fee (Applied to Original Bundle Fee) Pro-rata fee for completed Masterclasses + 50% of remaining bundle value Refund Percentage (of Original Bundle Fee) Remaining Bundle Value - (Pro-rata for Completed Masterclasses + 50% Penalty)
Timeframe of Bundle Cancellation 6 months of Bundle Start Cancellation Fee (Applied to Original Bundle Fee) 100% (No Refund) Refund Percentage (of Original Bundle Fee) 0% Refund. Full bundle fee retained due to significant elapsed time and access to series

Note: The "Pro-rata fee for completed Masterclasses" is calculated based on the total number of Masterclasses in the series and how many have been conducted or made available for nomination by the School by the cancellation date, irrespective of whether the organisation actually nominated participants for them.

Refunds, where applicable, will be processed within 30 business days to the original payment method.

Masterclass Postponement or Cancellation by the School

In the unlikely event that the School postpones or cancels an individual Masterclass session or the entire Masterclass Series, the following will apply:

  • Individual Masterclass: We will offer to reschedule the Masterclass. If rescheduling is not possible or suitable, the affected Allocated Seats will be converted back to Unallocated Seats within your bundle, or you may request a pro-rata credit/refund for the value of that specific Masterclass session, if a suitable alternative Masterclass cannot be provided within the 24-month period.
  • Entire Series: If the entire Masterclass Series is cancelled by the School, you will be offered a full refund for any remaining allocated or unallocated Seats and a pro-rata refund for the portion of the series not yet delivered. We will provide as much notice as possible in such circumstances. The Business School is not responsible for any travel or accommodation costs incurred by participants.

Extenuating Circumstances

While the standard policy applies in most cases, the School may consider waiving or reducing fees under genuine, unavoidable extenuating circumstances affecting the entire organisation's ability to utilise the bundle (e.g., major business restructuring, force majeure affecting operations) on a case-by-case basis, typically requiring supporting documentation. Individual participant extenuating circumstances for a specific masterclass should be managed via the Substitution Policy.

How to Notify

All requests for bundle cancellation, participant nomination, or substitution must be submitted in writing via email to [email protected]. Please include your organisation's name, the Momentum Masterclass Series Bundle agreement reference, and full details of the requested change.
